4. Payment Policy: Once the client has accepted the offer sent by Mindful Costa Rica, we will proceed to confirm the requested services with the various involved suppliers. Once these suppliers have confirmed the services in writing on behalf of the client, Mindful Costa Rica will send a complete reservation confirmation by email, along with a pro forma invoice and paymet link.
If your confirmation is received more than 30 days before your arrival, a prepayment of 50% of the total package price is required within the next 3 business days after receipt. The remaining 50% must be paid 1 month before your arrival date.
If your confirmation is received between 29 and 21 days before your arrival, payment of 100% of the trip amount is required within the next 2 business days.
If you request a reservation between 20 and 1 day before your arrival, payment of 100% of the trip amount is required before proceeding to confirm the services, via credit card.
During peak periods such as December 15th to January 5th, or during Easter, the final payment must be completed 60 days before arrival.

Changes in Itineraries or Services Due to Force Majeure: If a trip needs to be modified or delayed due to eventualities or circumstances beyond Mindful Costa Rica’s reasonable control (e.g., political unrest, hurricanes, flight changes, etc.), the additional cost will be the responsibility of the buyer and/or traveler. No refunds will be provided for unused services, accommodations, meals, and transport. No money will be refunded once the trip has begun.
7. Client Requested Changes and Costs: If the buyer and/or traveler requests last-minute changes (after the trip has been confirmed and prepaid), a charge of $20 USD per change, per affected supplier, will apply. This charge will be added to any cost or penalty imposed by the affected companies. Any changes requested by the buyer and/or traveler once the trip has begun will be at the user’s sole responsibility. No refunds will be provided for unused services.
8. Cancellation Policy: At all times, the buyer and/or traveler can withdraw from the requested or contracted services, with limited right to a refund of the amounts paid.
Cancellation must be notified via email, and receipt of this document must be confirmed by Mindful Costa Rica. The date of receipt of the withdrawal document will determine the applicable cancellation fees.
In case of cancellation, the client will incur a fee of US $100.00 for administrative costs plus the penalty based on the cancellation date:
For trips scheduled between December 15 and January 5, or during Easter, cancellations made 60 days or less before arrival in the country will incur a 100% penalty.
If the client fails to show up with the contracted provider for the service, no refund will be granted, unless otherwise agreed upon by both parties.
9. Weather Policy: All activities take place rain or shine. The general cancellation policy does not apply in these cases. Operators will determine the safety of the activity and will notify if it is canceled for safety reasons. In such cases, an alternative activity will be offered to be agreed upon with the client or a refund will be provided.
10. Client Responsibility: The client is responsible for complying with all local laws, regulations, and rules related to the contracted activity. Mindful Costa Rica is not responsible for damages, losses, or injuries caused by the failure to comply with these laws, rules, or regulations.
11. Reservation Confirmation: Reservation confirmation is considered complete once Mindful Costa Rica has sent written confirmation via email and the client has made the total or partial payment as agreed. Lack of written confirmation may lead to the loss of the reservation.
Liability: Mindful Costa Rica is the author and a tour operator and acts solely as an agent for the buyer and/or traveler with respect to the trip. However, regarding any mode of transportation used, it assumes no responsibility for damage or loss of property, accidents, injury, death, irregularities, or delays that may occur due to defects in the vehicle or transportation means used for any reason, or due to the negligence of the carrier, hotel, restaurant, boat, company, or individuals providing the services included in the trip.
Mindful Costa Rica is not responsible for any claims, loss, damage, or loss of luggage or personal belongings of the buyer and/or traveler; delays, inconveniences, feelings of frustration, distress, or failure to enjoy, physically or mentally caused by: (1) actions or omissions of third parties other than Mindful Costa Rica or its employees and collaborators; (2) mechanical failures, government actions, strikes, protests, atmospheric or climatic factors, natural phenomena, or any other factor outside of our control; (3) inability to obtain valid documents, passports, visas, and health certificates required upon entry into the country, if necessary, which may incur a cancellation charge; (4) inability to follow given instructions, including but not limited to check-in times, check-out times, or procedures at hotels, services, excursions, airports, or any other and care of luggage and personal belongings of the buyer and/or traveler; (5) cancellations or changes of any kind in travel services offered; (6) medical or health issues or physical disabilities. Mindful Costa Rica reserves the right to cancel or alter travel services at its discretion.
Mindful Costa Rica reserves the right to cancel a tour or part of it if deemed necessary for the comfort and well-being of participants. In this case, Mindful Costa Rica will not cover additional costs or losses caused by delays or events beyond our control, and such losses will be borne by the buyers and/or travelers.
Travelers who choose to participate in these vacation programs do so at their own risk. Mindful Costa Rica will not be held responsible for injuries, damages, and/or costs resulting from accidents or accidental death during the participation of the buyer and/or traveler in this vacation program. Many of the included activities are not suitable for individuals with serious health issues, pregnant women, mental or physical disabilities, or those unable to walk or participate in activities such as rafting, diving, or long jungle hikes. It is the responsibility of the buyer and/or traveler to assess the suitability of these organized activities based on their physical and emotional capabilities. The buyer and/or traveler must inform Mindful Costa Rica of all relevant personal circumstances of all traveling individuals (e.g., age, chronic illnesses, disabilities, etc.) that may affect the proper conduct of the organized trip.
Mindful Costa Rica is not responsible for missed international flights or loss of transfers to and from the International Airport upon arrival in Costa Rica or departure, caused by incorrect or incomplete flight information provided by the buyer to Mindful Costa Rica.
The buyer is responsible for verifying the times indicated in the service confirmation and vouchers.
Mindful Costa Rica will not be responsible for damages to persons or property caused by situations beyond our control, including but not limited to natural disasters, civil unrest, traffic accidents, and acts of terrorism.
12. Client Obligations: The client must provide accurate and complete information at the time of reservation and must notify Mindful Costa Rica of any changes in their health, dietary preferences, or other special needs before the start of the activity.
13. Travel Insurance: While Mindful Costa Rica strongly recommends the purchase of appropriate travel insurance, obtaining it is the client’s responsibility. Mindful Life Costa Rica is not responsible for any loss, damage, or expense that may arise during the trip.
14. Passports, Visas, and Documentation: The buyer and/or traveler declares that they are aware of and will comply with the government documentation requirements for departure, entry, and other purposes. If in doubt, please contact us before making any purchases. Minors under 18 must carry a written permission signed by their parents or guardians, in case it is requested by any authority. In the event of being denied entry into the country due to the buyer and/or traveler lacking the required documentation or not being in possession of it, Mindful Costa Rica disclaims all responsibility for such matters, and any expenses incurred will be the consumer’s responsibility. In such circumstances, the conditions and rules established for voluntary withdrawal from services will apply.
15. Other Important Information: Accommodation quoted by Mindful Costa Rica will be in standard rooms and in the conditions specified by the hotel as basic, unless otherwise specified. There is the possibility to add extra beds and special conditions for children, with additional charges for these items potentially applied. Some prices communicated are not necessarily the same as those set by hotels or operators. In some cases, a service charge has been added to cover our operation. Prices include compensation to the operator for their professional services, recommendations, knowledge, experience, salaries, fixed costs, computer systems, fax, telephone, advertising, promotion, sales brochures, required to offer highly specialized professional services.
16. Contact and Communication: For any inquiries, clarifications, or modifications, the client should contact Mindful Costa Rica through the provided means. Communication should be made in a timely manner to ensure proper management of the reservation and avoid inconveniences.
17. Acceptance of Terms and Conditions: By making a reservation and completing the corresponding payment, the client accepts these terms and conditions in their entirety. Any discrepancies or questions should be resolved before the final confirmation of the service.
